Project management: what is it all about

May 2nd, 2008 by admin

Project management is a difficult activity that has to do with 4 traditional variables: expenditure, schedule, duration and producing a satisfactory result. A more challenging objective is to optimize work organization and resource allocation. Most projects utilize such components as labour, funds, and tools to deliver results and hit selected targets. You may come across a number of factors that are crucial for successful project management. You can see a few of such factors below:

- Establishing objectives and conducting analysis.

- Handling negative possibilities. Any project involves a lot of uncertainties that have to be dealt with.

- Finding people and tools for the project.

- Having a clear idea about the outcome you want to get when the project is finished.

- Managing what is going on: giving out jobs, controlling the work-in-progress.

- Managing adequate quality.

- Handling instability. Circumstances change. All tasks develop in time, so the factor of change should be properly considered.

- Communicating with project stakeholders.

To deal with these components you can use pen and a notepad or probably a spreadsheet program. However, dedicated project tracking software has a lot of important benefits:

- Idividual jobs are smoothly assigned to time blocks. The length of work can be calculated automatically using the workload data. You can create work time-tables for different resources. Managing work-in-progress also becomes less of a problem.

- Working with a number of projects and handling a set of specifications. Project management software helps project managers to seea bigger picture and aggregate information on a number of projects.

- Critical path becomes clearly visible. The critical path is a primary principle in project planning. Should a task on the critical path take less or more time, the whole project is going to be touched by this change. At the same time for tasks that are not on the critical path small modifications in how long it takes can have no influence whatsoever on the project.

- Disseminating data to project participants. Complicated projects demand a lof of communication. Productivity tracking software makes dissemination of information easier than it has ever been before.

Should you every time choose task tracking software?

Project tracking solutions could not be suitable in 100 percent of all cases. The most suitable time to reap the benefits from such programs is when you supervisea few big projects. Little projects can be managed using MS Excel which allows you to save on overhead costs of managing fairy complicated software.
